Job Summary

The Senior Client Service Associate (“CSA”) is a key operational resource for the Wealth Advisors (“WA”) and Senior Wealth Advisors (“Sr. WA”), providing for client needs of any complexity. This position serves as a trusted point of contact for high-net-worth and affluent families, handles operational requests from routine to highly complex, and helps new Client Service Associates learn our standards. The ideal candidate combines impeccable integrity, sound judgment, and deep operational knowledge with genuine warmth, discernment, and an unwavering attention to detail.

This position reports directly to our Client Service Manager (“CSM”), works day to day alongside Wealth Advisors and / or Senior Wealth Advisors, and is a fully in-person role at our office in Bellevue, Monday through Friday.

This role is part of Auxano's defined Client Service career track, which runs from CSA to Senior CSA to CSM. Senior CSAs who consistently serve clients of every complexity, mentor new associates, and show sound judgment and ownership are positioned for the CSM role. That role partners with SWAs on high-net-worth relationships and leads a team of CSAs and Senior CSAs.

Responsibilities
  • Serve as a primary operational resource for designated WAs and/or Sr. WAs, providing non-advice-related support for clients across all service tiers but especially HNW and complex clients

  • Serve as a primary point of contact for clients, delivering timely, thoughtful and professional communication, and route any questions requiring investment or planning advice to the appropriate advisor

  • Own complex and non-standard service requests end to end, including trust, entity and inherited IRA accounts, account transfers and money movement

  • Resolve custodian issues and escalations directly with Schwab service teams

  • Proactively gather updated client information before meetings so advisors arrive fully prepared, and handle meeting materials and follow-up

  • Schedule client review meetings and keep action items and follow-ups current in our CRM so nothing is overlooked

  • Ensure paperwork, money movement and documentation follow Auxano’s verification and compliance procedures

  • Mentor CSAs and continue learning from the CSM and WAs

  • Handle sensitive client information with discretion, sound judgment and confidentiality

  • Track required minimum distributions for assigned clients throughout the year and complete the year-end RMD review with advisors and Schwab, including inherited IRAs

Qualifications
  • At least two years of client service or operations experience at an RIA, wealth management firm or custodian, or equivalent experience

  • Working knowledge of account opening and transfer paperwork, money movement, and RMD processes

  • Demonstrated ability to resolve complex requests independently and to judge when to escalate

  • Excellent communication skills, both written and verbal, and confident interpersonal skills with clients and with the team

  • Strong organizational and prioritization skills, with the ability to manage a large book of client relationships and deadlines independently

  • Extensive knowledge of the MS Office suite (or equivalent AI platform), with a desire to learn new programs and systems

  • Working proficiency with AI tools such as Microsoft Copilot to draft, summarize and streamline routine work, used in line with firm data and privacy policies

  • Discernment and emotional intelligence when working with high-net-worth families

  • Calm and composed under pressure, with a strong sense of ownership, teamwork, accountability and uncompromising integrity

Preferred Qualifications

  • Experience with Schwab Advisor Center, AdvisorEngine CRM, Tamarac, DocuSign and/or GeoWealth

  • Experience supporting high-net-worth clients with complex account structures

  • Experience mentoring or training colleagues

What Success Looks Like
  • 90 days: independent on Auxano’s service workflows, Schwab procedures and CRM

  • 6 months: fully supporting an assigned advisor’s clients, with action items current and updated client information gathered ahead of every meeting

  • 12 months: serving roughly 125–175 client relationships depending on complexity, and a go-to mentor for new Client Service Associates

  • Pay: $85,000 to $105,000 base salary, dependent on experience and competency of candidate, plus annual performance bonus
