Job Summary
The primary responsibility for the Assistant Director of CARE and Support (CARE) is providing administrative support for the Associate Directors (ADs), Senior ADs, and Director of CARE. The Assistant Director must be able to stay abreast of the projects, policies and practices of CARE to offer administrative support. The Assistant Director is responsible for supervision of the front office staff/functions and for pertinent record keeping in adherence with the Family Education Rights and Privacy Act (FERPA). The Assistant Director is responsible for assisting in communicating and scheduling students receiving case management and support coordination services through CARE. The Assistant Director reports directly to the Director of CARE for the purposes of the annual budget review process and day-to-day budget management (i.e. purchasing/procurement, reconciliation, transfers, etc.). The Assistant Director is responsible for understanding institutional roles of threat assessment and case management services and best practices for administrative functions. The Assistant Director must maintain qualifications through ongoing training and professional development.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Provide administrative support for the Associate Directors (ADs), Senior Associate Directors, and Director in their functions within CARE.
  • Provide supervision, oversee functionality, and aid (as needed) for the front office staff and student workers.
  • Be responsible for administrative processes including, but not limited to, CARE Team meetings, case management services, scheduling campus threat assessment training and education initiatives, Concealed Weapons Permits and Storage approvals, placement and maintenance of the CARE Flag on designated students’ accounts and auditing the Liberty Mountain Gun Range and campus training attendance records.
  • Oversee the scheduling/purchasing of professional development opportunities for 6-8 CARE staff members and arrange travel.
  • Contact and schedule meetings and trainings on behalf of ADs, Senior ADs, and Director of CARE.
  • Submit and track workorder requests with Facilities related to the general maintenance of the CARE suite.
  • Serve as the primary custodian of the requisition and reconciliation of purchases for CARE.
  • Assist the Director in the daily and multi-year management and planning of the annual budget for CARE, including funds allotted to the Peer Recovery Program.
  • Remain updated on the required procurement processes and procedures and serve as the primary point of contact with Procurement, Financial Planning and Budget, Information Services, third-party vendors, etc. regarding the operational and promotional needs of CARE.
  • Assist in the planning and execution of department events and activities.
  • Oversee and direct administrative staff in the maintenance of CARE digital drives and record keeping in an efficient and effective manner.
  • Contact and correspond with students, parents, and community providers, when warranted, in accordance with FERPA.
  • Lead the maintenance and updating of administrative protocols and procedures, and assist the ADs, Senior ADs, and Director in maintaining and updating protocols and procedures related to the case management and support coordination services of CARE.
  • Provide administrative support during CARE Team meetings to include room and food set up, and act as the primary notetaker.
  • Act as liaison to faculty and staff regarding student-related problems relevant to CARE.
  • Remain aware of existing and emerging technologies, processes, products, services and leading industry performance benchmarks relating to CARE.
  • Oversee the management of the CARE email inbox.
  • Attend departmental and other official Liberty University meetings as required.
  • Collaborate with other CARE staff regarding case information, communication with Liberty community members, communication with external parties, etc.
  • Work effectively as a team member, embracing and fostering the University’s mission.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES  

This position is responsible for supervision of the Administrative Assistant and Student Work Assistants.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

A Bachelor’s degree with a concentration in business, communications, accounting, student development, counseling, higher education or a related field is required. Minimum 1 year management experience required. Other experience in budgeting, accounting, and administrative duties is preferred.

Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well lighted, and the noise level is moderate. Working environment also includes facilitation of events outdoors occasionally.

Driving Requirements

Use of one’s personal vehicle (or LU vehicles) may be required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver’s license, an acceptable DMV record, and liability insurance is required.

Pay Range

Compensation is determined based on factors such as qualifications, experience, education, skills, and certifications, along with University needs and external market conditions. Market benchmarks may be used, as appropriate, in combination with internal equity to ensure pay is fair and aligned with the broader compensation structure.


The position may also be eligible for comprehensive benefits, including health insurance, retirement plans, and tuition assistance.

 

 

$45,000.00 - $55,000.00
