Job Summary

CRM Coordinator

We are seeking a highly organized, detail-oriented CRM Coordinator to support our team across member communications, data management, technology coordination, and event operations. This role is ideal for someone who enjoys keeping systems running smoothly, solving problems, and creating exceptional experiences for both team members and customers.

The ideal candidate has hands-on experience with HubSpot CRM, is proactive and tech-savvy, and is comfortable managing multiple projects while maintaining a high level of accuracy and professionalism.

This is a remote position - employee must reside in the Dallas–Fort Worth metroplex or surrounding suburban communities

Responsibilities

CRM Data Management

• Manage and maintain the HubSpot CRM, ensuring data accuracy, consistency, and integrity.

• Build and maintain lists, reports, dashboards, and workflows to support organizational initiatives.

• Perform ongoing data cleanup, deduplication, and optimization to keep records reliable and useful.

• Execute email and text message communications through HubSpot.

• Process registrations, maintain attendee records, and support member engagement efforts.

• Generate receipts, confirmations, and other constituent-facing communications.

• Field member phone calls and inquiries, providing warm, responsive, and professional service.

• Reconcile donations and event funds, ensuring contributions and receipts are recorded accurately

and match financial records.

• Assist leadership with reporting, data analysis, and information requests.

Technology Coordination

• Serve as the primary liaison between staff and external technology vendors and IT providers.

• Track technology requests and ensure issues are resolved in a timely manner.

• Troubleshoot basic software and system issues.

• Assist with onboarding staff to technology platforms, systems, and processes.

• Help document and improve operational workflows and procedures.

• Coordinate with vendors and service providers to ensure projects and operational needs are

completed efficiently.

• Support planning and execution of organizational events and conferences.

• Assist with post-event reporting, attendee tracking, and reconciliation of funds and data.

Qualifications

Required

• Hands-on experience using HubSpot CRM or comparable CRM

• Exceptional organizational skills and attention to detail.

• Strong written and verbal communication skills.

• Ability to manage multiple priorities and deadlines simultaneously.

• Proficiency with Microsoft Office and Google Workspace.

• Comfort working with numbers, receipts, and fund reconciliation with a high degree of accuracy.

• Ability to work independently and follow projects through to completion.

• Professional and personable demeanor with strong customer service instincts.

• Willingness to travel 2–4 times per year.

• Remote - Residence within the Dallas–Fort Worth metroplex or surrounding suburban communities

Requirements
  • Hands-on experience using HubSpot CRM3 - 5 years

  • Experience with email marketing, SMS communication platforms, or CRM reporting. • Experience coordinating with external vendors, consultants, or technology providers. • Experience in a nonprofit, association, ministry, membership, or mission-driven organization.3 - 5 years
