About the OrganizationThe New Jersey Policy Institute (NJPI) is a new 501(c)(3) non-profit organization that seeks to bring together policymakers, business leaders, non-profits, elected officials, and others to focus on meaningful policy solutions regarding the major issues facing Garden State families—including education, the economy, energy, and more.About the RoleWe are looking for a high-energy, detail-oriented professional to keep our operations running smoothly and our fundraising engine revving. You’ll wear two hats: an Executive Assistant managing the day-to-day flow for leadership, and a Development Associate driving our growth through donor relations and project management.The Administrative amp; Development Associate will report to the Executive Director. This is a full-time position based in Parsippany, NJ, with the opportunity to work from home up to 3 days per week.What You’ll DoExecutive Support amp; AdministrationGatekeeping amp; Scheduling: Manage complex calendars, coordinate meetings, and handle travel logistics.Event Planning: Lead the logistics for board meetings, staff retreats, and small-scale donor events.Office Flow: Ensure the office environment is organized and professional.Fundraising amp; Development“Mini” Major Gifts Officer: Manage a small portfolio of mid-level donors, conducting outreach and personalized stewardship to move them up the giving ladder.Project Management: Track grant deadlines, oversee the annual appeal timeline, and ensure all donor acknowledgments are sent promptly.Database Management: Keep our CRM updated, pulling reports to track fundraising progress and identify new opportunities.Who You AreA Natural Organizer: You thrive on checklists, color-coded calendars, and beating deadlines every time.Relationship-Driven: You genuinely enjoy people and are comfortable building relationships through phone calls, donor conversations, and mission-centered outreach. You know how to listen and ask for support.Discreet amp; Professional: You handle sensitive executive and donor information with total confidentiality.Tech-Savvy: You’re proficient in G-Suite/Office 365 and have experience with CRMs like Salesforce, Raiser’s Edge, and/or HubSpot.The Ultimate “Task-Switcher”: You can pivot seamlessly from formatting a board report to hopping on a call with a donor without missing a beat.A Proactive Problem Solver: You don’t wait for instructions to fix a scheduling conflict or a gap in the donor database; you see the “mess” and organize it.Project Obsessed: You live for a good project management tool (like Asana, Monday, or Trello) and take pride in meeting every event deadline.Polished amp; Trustworthy: You are the face of the office. Whether you’re greeting a guest or handling sensitive executive emails, you do it with high emotional intelligence and discretion.Growth-Minded: You aren’t just looking to “check boxes”—you want to learn the mechanics of fundraising and eventually grow your own donor portfolio.Qualifications1+ years of experience in administrative support or nonprofit development.
