Job Summary
Title: Executive AssistantReports to: Executive Vice President and Vice President of OperationsJob Summary: The Executive Assistant oversees the day-to-day operations of the Heritage Action Executive Vice President and the Vice President of Operations. This position provides executive-level program and administrative support and works collaboratively with Heritage Action team members to achieve organization and enterprise-wide goals. The Executive Assistant employs diplomacy, discretion, and confidentiality in all matters and at all times. The Executive Assistant is comfortable in a fast-paced, high-level environment; exercises sound judgement; coordinates multiple, time-sensitive projects/priorities; and is a well-organized, detail-oriented member of the team. Job Duties:Schedule and Event ManagementServe as the liaison to staff and external stakeholders seeking meetings and contact with the Executive Vice President and Vice President of Operations; ensure efficient execution of the Executive office portfolio of activities.Manage and track the Executive Vice President’s and Vice President of Operations’ daily and long-term calendars; anticipate and avoid scheduling conflicts.Maintain internal scheduling communication with the Executive Vice President’s and Vice President of Operations’ direct reports.Manage regular communication and updates with the Heritage Action Executive Vice President, other Vice Presidents and Directors and management across the enterprise as needed.Vet internal and external requests and track their completion.Prioritize and prepare the Executive Vice President and Vice President of Operations for all internal and external meetings, events, and trips.Develop and provide appropriate briefing materials in advance of internal and external meetings and events.Assist the Vice President of Operations with project and daily task management including the accounting and people operations processes.Assist in the development and maintenance of the Heritage Action business continuity plan.Coordinate with People Operations to assist in the management of employee onboarding and departure.Assist in planning internal and external meetings including, but not limited to, routine staff meetings, board meetings, All-Staff events, and Field Team Fly-In meetings. Office ManagementOversee office hospitality, including team lunches and other personal celebrations and recognitions as required.Manage office mail distribution process.Work with other Executive Assistants to ensure seamless operations across the Enterprise.Manage the Heritage Action interns. Travel and ExpensesCoordinate Executive Vice President and Vice President of Operations travel as needed.Monitor the Heritage Action budget and oversee prompt completion of expense reports, submission of invoices from outside vendors and other organizational level accounting tasks.Assist in the system for Vice President of Operations review and approval of all Heritage Action expense reports. Qualifications:Education: Bachelor’s Degree preferredExperience: 2+ years of experience directly supporting and advising an executive-level manager; experience working for a policy organization and/or Capitol Hill office preferred. Communication: Excellent verbal, writing, and proofreading skillsTechnology: Expert proficiency in Google Workspace, Microsoft Suite, and database software requiredOther Requirements: Understand and support the Heritage mission and vision for America, and Heritage Action’s goals and objectives.High level of discretion and ability to maintain confidentiality.Strong bias for action.Excellent strategic, organizational, planning, and interpersonal skills.Knowledge of the conservative movement and principles; ability to apply principles to legislative priorities, grassroots campaigns, and compelling messaging strategies.Required to work on-site at headquarters in Washington, D.C. The salary range for this role is $60,000 - $70,000 annually. This range is a good faith estimate, and the final salary offered to a selected candidate depends on a variety of factors including, but not limited to, the candidate’s experience, education, and other qualifications; internal and external market pay for comparable jobs; and level of hire based on aforementioned qualifications.
