Job Summary
The Story Real Estate Office Administrator will be the first point of contact for the public and agents. They are committed to growth and being coachable. They will possess strong interpersonal skills, very pleasant phone skills, a continually positive attitude, enthusiasm, and attention to detail. In addition, this position requires the ability to learn internal systems and technology, to plan and execute events, and to provide leveraging support to the team. The Office Administrator must be client-focused and team-oriented, able to get along well with others and manage time effectively.
Additional responsibilities include office management, document management, data entry, and leveraging assistance to the Executive Assistant and Transaction Coordinator. Above all, the Office Administrator must embody Story Real Estate’s Core Values and Core Beliefs in attitude and professionalism.
Manage Office Administration and Atmosphere
- Uphold the office environment and appearance
- Manage Office supplies: Order and Stock
- Manage Mail and Package Reception and Delegation
- Manage Office Invoices, Receipts and Filing
- Manage Office cultural TV displays
- Manage Office Support Vendors and Staff: Snow Remover/Cleaner/Printer Tech/Window Cleaners
- Cheerfully provide support and solutions for Team Office requests
- Manage the SRE Team Calendar and Training Schedule
Coordinate Internal and External Events
- Collaborate with the Visionary Team to plan, organize, and execute internal and external events.
- Coordinate External Client and Community Events as directed by the SRE Annual Calendar
- Coordinate and Direct Internal Celebrations Days: Anniversaries, Birthdays, Book Discussions
- Coordinate New Hire Onboarding of Team Members
- Coordinate Offboarding of Team Members with Visionary Team
- Manage the SRE Conference Room Calendar free of double bookings
- Facilitate Cultural Building Activities as directed by the Visionary Team

- Work additional event hours when necessary
- The Office Administrator is generally expected to be at the front desk 8:00am - 5:00pm to greet team members and clients (particularly for client appointments). There will be some tasks that require the Office Administrator to step away for planning or lunch.
- The Office Administrator will be held accountable for their enthusiasm and performance in greeting visitors both in person and on the phone.
