Job Summary

The Executive Assistant/Organizational Administrator will serve as the CEO’s strategic partner and primary support, ensuring effective communication, organization, and execution of organizational priorities. This role combines high-level executive support with leadership in fundraising, grant management, and donor relations. 
 
The ideal candidate is professional, proactive, and deeply committed to the mission of community restoration and empowerment. They will play a pivotal role in streamlining operations, enhancing internal and external communication, and strengthening funding pipelines that sustain the organization’s long-term impact. 

Responsibilities

Executive & Organizational Administration 

  • Manage and prioritize the CEO’s calendar, meetings, appointments, and correspondence. 

  • Serve as the CEO’s liaison with staff, board members, donors, and community partners. 

  • Prepare agendas, minutes, and follow-up documentation for leadership, board, and community meetings. 

  • Track organizational initiatives and ensure timely completion of deliverables and follow-ups. 

  • Draft, edit, and organize correspondence, presentations, and reports for internal and external audiences. 

  • Maintain a high level of professionalism, discretion, and confidentiality at all times. 

  • Support overall office operations, systems, and administrative functions that keep the organization running smoothly. 

Grant Writing & Donor Development 

  • Lead all aspects of grant research, writing, submission, and reporting for local, state, federal, and private foundations. 

  • Identify new grant opportunities that align with Community Warehouse’s mission and programs. 

  • Maintain a comprehensive grants calendar to track application deadlines, renewals, and reporting requirements. 

  • Develop and maintain relationships with key donors, grantors, and philanthropic partners. 

  • Coordinate donor communications, acknowledgments, and recognition efforts. 

  • Work collaboratively with program staff to gather data, success stories, and impact metrics for grant proposals and reports. 

  • Monitor funding outcomes and ensure compliance with grant requirements. 

Communication & Strategic Support 

  • Support CEO in crafting internal and external communications, newsletters, and public updates. 

  • Represent the CEO professionally in meetings, calls, and written communications when appropriate. 

  • Assist in planning fundraising events, community outreach activities, and donor appreciation functions. 

  • Support the CEO and leadership team with strategic initiatives that advance the mission of Community Warehouse. 

Qualifications
  • Bachelor’s degree in Business Administration, Communications, Nonprofit Management, or related field required; Master’s degree preferred. 

  • 5+ years of professional experience supporting executive leadership in a nonprofit or mission-driven organization. 

  • Demonstrated success in grant writing, fundraising, or donor relations. 

  • Exceptional organizational and time management skills, with the ability to handle multiple priorities simultaneously. 

  • Outstanding written and verbal communication skills with attention to detail and tone. 

  • High level of integrity, discretion, and professionalism in handling confidential information. 

  • Proficiency in Microsoft Office Suite, Google Workspace, and donor management systems (Salesforce, Bloomerang, or similar). 

  • Passion for community restoration, workforce development, and serving Milwaukee’s urban neighborhoods.
