Executive AssistantDelphi Plumbing and Heating
We are hiring an Executive Assistant to support the CEO of a fast-growing public works construction firm. This role will provide strategic, operational, and administrative support to the executive, enabling company-wide execution, accountability, and leadership alignment as the business scales. This role exists to create leverage for the CEO and operational clarity across teams. This is not a basic admin role. Be the right hand to a CEO who’s moving fast and needs backup that’s sharp, steady, and built for execution. You won’t be fetching coffee. You’ll be clearing roadblocks, tracking promises, and holding the line so the ship doesn’t drift.
In the first year of employment, the Executive Assistant is expected to perform the following:
1. Leadership Meeting Management
Own weekly L10 leadership meeting prep, follow-ups, and accountability tools
2. Calendar and Priority Control
Handle personal and business logistics—appointments, deadlines, inboxes, vendors
Defend CEO time from low-leverage tasks; increase strategic time allocation by 20%
3. Project Execution Support
Act as point-of-contact for key cross-functional initiatives
Track and chase down execution across 3 departments
4. Admin and System Infrastructure
Build or maintain SOPs for inbox management, file organization, requisition workflows, etc.
Ensure 100% of critical files and tracking tools are current and backed up monthly
Maintain and protect Executive’s trade licenses and certifications
5. Cultural Reinforcement and Communication
Support CEO in reinforcing Delphi core values during hiring, meetings, and performance discussions
Draft 2–4 internal communications per month (updates, follow-ups, recognition, etc.)
Proactive coaching or reminders to team members when values slip (documented 1–2x/month)
Extreme Ownership — Takes initiative and responsibility without prompting
Detail Orientation — Tracks moving parts and flags issues before they become fires
Anticipation — Stays three steps ahead of the CEO and executive team
Discretion — Handles sensitive financial and personnel matters with maturity
Follow-Through — Closes loops and ensures others do the same
Communication — Clear, concise, written and verbal; communicates up and down
System Thinking — Creates and maintains simple, scalable organizational systems
- Experience as EA, Project Admin, Integrator, or Project Manager•3+ years
- Operationally strong—understands task flow, follow-through, and priority control

- Comfortable in field-oriented, fast-moving environments
- Growth mindset—willing to build, learn, and drive systems
- Willing to do occasional off-hours coordination and travel booking
- Construction, field-driven, or entrepreneurial experience
- You can write a crisp, direct email and speak up in a room full of senior staff
- You track details like a hawk—then follow up without being told
- You are wired for structure, but comfortable in chaos
