This role begins with a full-time training period (40 hours/week) dedicated to professional certification and immersion in our business processes, with the intent to transition into a long-term part-time role (15–20 hours/week) based on evolving needs.
The ideal candidate is detail-oriented, proactive, and capable of managing competing priorities while supporting executive leadership across multiple business functions. You will play a key role in helping the organization scale efficiently, maintain structure, and stay aligned with strategic goals. Strong communication skills, independent drive, and a learning mindset are essential.

Training & Certification Support
Dedicate initial 40 hours/week to focused onboarding, studying, and completing required certification coursework
Organize and manage all learning materials, calendars, and deadlines related to the certification process.
Track progress and proactively communicate training milestones to leadership.
Administrative & Operational Support
Provide comprehensive virtual administrative support including email and calendar management, scheduling, and communication handling.
Assist with document creation, file organization, and internal task tracking.
Manage internal workflows using project management and CRM tools.
Business Coordination & Client Support
Act as liaison between leadership and internal/external stakeholders during the setup of new business entities or subsidiary structures.
Prepare reports, summaries, and updates to support legal, trademark, or operational initiatives.
Support multi-location communication and coordination (e.g., Anaheim, Charleston, Halifax teams).
Flexibility & Growth Readiness
After certification, shift to a part-time model (e.g., 15–20 hours/week) based on role fit and business priorities.
Take initiative to scale responsibilities as business needs evolve.
3+ years of proven experience in a finance role.
Exceptional organizational and time-management skills with the ability to prioritize and handle multiple tasks simultaneously.
Strong verbal and written communication skills with attention to detail.
High level of integrity and discretion in handling confidential information.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace, and other office management tools.
Ability to work independently and as part of a team, demonstrating a proactive approach to problem-solving.
A positive attitude, adaptability, and a commitment to supporting executive leadership.
Experience using task/project management tools such as ClickUp or Asana.
