Job Summary

We are seeking a friendly, organized, and dependable individual to join our team as a receptionist and client care specialist. This is a key role in helping us deliver an exceptional client experience and keeping our office running smoothly. The position is part-time (Monday through Friday, approximately 9am to 3pm), but we are open to full-time hours for the right candidate who demonstrates the skills, attitude, and initiative to grow with us.

Responsibilities
  • Answer incoming phone calls, respond to text messages, and manage email communications
  • Schedule and confirm appointments with clients
  • Greet guests in person with professionalism and warmth, ensuring a welcoming environment
  • Handle daily mail, package deliveries, and outgoing correspondence
  • Coordinate thoughtful client care, including sending birthday cards and gifts for special occasions
  • Order and manage office supplies, ensuring inventory is maintained
  • Maintain the appearance and readiness of the lobby and conference room
  • Provide consistently prompt, friendly, and high-quality client service
  • Assist team members with a variety of administrative and support tasks as needed
  • Participate in planning and executing client appreciation events
Qualifications
  • Highly proficient with technology and quick to learn and adapt to new software and systems
  • Amiable, level-headed, teachable, and service-minded
  • Highly organized and dependable, with strong attention to detail
  • Self-motivated and able to manage time and tasks effectively
  • Strong follow-through to ensure tasks are completed fully and on time
  • Willing to take initiative and adaptable to changes in routine or workflow
