We are seeking a Full-Time, In-Person Administrative Assistant to join our Ohana! At lilikoi, the administrative assistant position is a support role for the operations team. You will start each day by checking in with the COO (Chief Operating Officer) to see what the day’s goals consist of. While no two days will be alike, the tasks that you will be responsible for organizing data, emails, running reports, and communicating discrepancies. These tasks will be familiar to you after 30-60 days.
Some of the responsibilities of the position will be daily overseeing of the office environment which includes grocery shopping, running errands, and rearranging/organizing the office. Attention to detail is important for this position as well as a strong desire to grow and learn.
We have ONLY in-house positions (this is NOT a remote position)...This person is the first and last person everyone internally sees so the ideal candidate must have a zeal for customer experience, not just customer service, friendly and differing persuasive communication styles to be effective with 40+ team members and vendors, and must highly excel in time management and organization skills. MUST be comfortable with AI platforms.
- Manage executive calendars and schedule appointments
- Perform data entry and maintain accurate records in various databases
- Prepare and edit correspondence, reports, and presentations using Microsoft Office applications
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong attention to detail and ability to prioritize tasks effectively
