The CEO of a family business built on faith and values for over 45 years is searching for his next EA. He describes himself as a passionate and dynamic leader, man of Faith, business owner, and business partner. As a strategic CEO, he has a proven history of performance, company sales growth, team-member engagement, culture-building, and customer-partner and vendor-partner relationship building. As a dynamic leader, he has a clear vision and purpose, uncompromising values, rock-solid integrity, and a commitment to service at every level. Most importantly, he is a family man, father, husband, and man of Faith. 


His role is primarily strategic and has a good mix of inward and outward facing roles of three stakeholders - employees, vendors, and customers. His time is spent equally between the three. Additionally, he supports two other family companies. 


The company has approximately 330 employees with seven executive team members operating in IL, WI, and IN. His vision and plan is to grow the company further. He has a vision for the future of the company and isn’t content with living off past company successes.


He thrives on clear, concise, direct, rigorous in-person and phone communications (both calls and texting). 


Strategic with all his time and resources, he understands the right EA will make him more efficient and impactful in his role. 


The right EA will understand how to best and most efficiently use his finite resource of time. Possess the ability to find balance with employees, vendors, and customers, (which could easily take up his entire day every day) while still making room on his calendar to work on the business. 


A successful EA will possess the following:


  1. Success working in a high-energy, fast-paced working environment 
  2. Clear-thinking with a concise communication style (both verbal and written) 
  3. Values alignment: You understand his faith in God guides him in everything he does. 
  4. Professional demeanor: Understanding as the EA to the CEO, you will be in meetings and privy to sensitive and confidential information. Confidentiality is imperative as an absolute non-negotiable. Seeing yourself as an extension of the CEO, a successful candidate will carry themselves as an executive and as the CEO would, whether in day-to-day duties or in the many social situations and gatherings the company hosts. 
  5. Comfortable assisting as a member of the Executive Team: You are comfortable communicating with CSuite leaders, participating in executive team meetings and conversations, actively listening, asking clarifying questions, correctly interpreting and repeating what has been communicated.
  6. Strong-minded, with a strong business acumen: You are mature and understand the demands of the business. 
  7. Self-starter with problem-solving abilities 

 

You are honest and possess high integrity. You appreciate candid and caring feedback and as a seasoned EA know how to communicate the same. The right EA understands the need to support the CEO and the vision he has for the company. You will be determined and thrive on staying committed and focused. Furthermore, you will be excited by the vision, believing in your executive through the process.


Key job functions include, but are not limited to:


Executive communication;

  • Proofreading, editing, and writing for the CEO;

Effective calendar management;

  • Managing and coordinating busy schedules to get meetings on the calendar;
  • Scheduling meetings with accuracy and a high attention to detail;
  • Scheduling meetings with the CEO in mind - understanding he still has to find time to work;
  • Coordinating meetings efficiently during his windshield time;
  • Ensuring the CEO is prepared and not blindsided with meetings;
  • Ensure that he is the right person to be having the meeting (vs. HR, Operations, Sales, etc.);

Travel management;

  • Primarily domestic;

Expense reporting;

  • Concur;

Event and offsite planning/management;

  • Travel required (6-12x a year for pre-planning and active event management);
  • Direct lead role in planning annual company Family Picnic/Christmas Party, in addition to several key CEO hosted events annually;

Personal & thoughtful gifts/purchasing;

  • Seasons tickets for company;
  • Card/gifts for vendors and clients;
  • Birthday and anniversary cards/gifts for employees;

Personal family calendar coordination;

  • Coordinating with the home assistant and his wife for the personal family calendar;


Additional Requirements:

  • College degree preferred;
  • Experience as a Sr. Executive Assistant (3 years minimum); 
  • Ability to travel 6-12 times a year to plan and oversee events;
  • Must be willing to have a background check performed;


You will both know the working relationship is successful when there is working synergy. Collaboration is successful. You are able to speak your mind, as is the CEO. Of course, calendar management is clear and correct and his travels are coordinated correctly and efficiently. You know how to use the CEO’s opportunities strategically. You are also technically effective in the role with an overall commitment to getting things done. 


Salary: $80,000 - $100,000 (DOE)

Bonus Program: May / November Performance Bonus and annual Christmas Bonus program.

Hours: Full-time, in-person, 8am - 5pm CT 

Location: Addison, IL
