Administrative Assistant – Job Summary
We are seeking a highly organized, proactive Administrative Assistant to support daily office operations, financial coordination, and project administration. This role serves as a central point of contact for internal teams, clients, and vendors—ensuring efficient workflows, accurate reporting, and timely support across multiple construction projects.
The ideal candidate is detail-oriented, dependable, and comfortable managing both administrative and financial responsibilities in a fast-paced environment. This position plays a key role in supporting project managers through billing, documentation, and compliance processes, while also helping maintain a professional, team-focused office environment.

What You’ll Do
· Manage daily office operations including calls, correspondence, and internal coordination
· Support accounting functions including accounts payable/receivable, customer invoicing, and collections
· Prepare and process AIA progress billings and supporting documentation
· Generate and track customer invoices, payments, and deposits
· Manage and track lien waivers/releases (conditional and unconditional) to ensure compliance
· Maintain accurate financial records and assist with reporting for check runs and job costing
· Coordinate project documentation including contracts, budgets, and closeout requirements
· Track project billing schedules, outstanding items, and job status updates
· Manage compliance documentation such as insurance certificates (COIs), W-9s, and prequalification packages
· Support payroll, timesheets, PTO tracking, and employee records
· Maintain organized digital and physical filing systems

· Proficiency in Microsoft Office and administrative/accounting systems
· Positive, team-oriented attitude with a solutions-focused mindset
· Ability to work in a high-accountability environment with professionalism and composure
· Must be eligible to obtain a Notary Public commission in the State of Texas
Education & Experience
· High school diploma required; associate’s or bachelor’s degree preferred
· 1–3 years of administrative, accounting, or construction-related experience, or an equivalent combination of education and experience
· Experience supporting project managers, billing processes, or office operations strongly preferred
