You'll play a key part in:

  • Reinforcing accuracy and attention to detail across documents, schedules, and communications

  • Driving organization and workflow discipline for multiple departments (from field to office)

  • Enhancing clear, timely communication between teams, vendors, and stakeholders

  • Supporting project coordination to help us deliver high-quality work on time and on budget

Responsibilities

This person will deliver high quality administrative support that frees PM's, estimators, finance staff, and leadership while ensuring clean documentation, accurate system entries, timely communication, and strict adherence to Delphi SOP's.

  • Maintain clean, complete, accurate version-controlled documentation

  • Follow Delphi's folder structure 100% of the time

  • Audit folders weekly for compliance

  • Ensure all files remain audit ready

  • Drafting, sending, and tracking communication as directed

  • Maintains group email inboxes and routing items to the correct owner

  • Sending e-minders, confirmations, and follow-ups for assigned tasks

  • Maintaining internal communication logs

  • Ensuring all stakeholders receive the correct documents and updates on time

  • Manage calendars, walkthroughs, and meetings

  • Prepare agendas, notes, and summaries

  • Track deadlines and readiness

Qualifications

Proficiency with Microsoft Office Suite, particularly Excel and Word. Ability to prioritize tasks and meet deadlines in a dynamic construction environment. Strong written and verbal communication skills.
